Privacy Policy

Meetsy ("we," "us"), based in Poland, is the data controller for the Notes AI Chrome extension and web dashboard (the "Service"). This policy explains what we collect, why, and the rights you have over it under the EU General Data Protection Regulation (GDPR).
1. Local-first, by design
When you use the extension without an account, meetings are captured and stored only in your browser's local storage. We never see that data — it isn't sent to us unless you sign in.
2. What we collect once you sign in
- Account data: your email address, used to sign in and for account-related emails.
- Meeting data: the transcript, summary, to-dos, and notes for meetings you choose to sync, plus the folder structure you organize them into.
- Ask AI questions: questions you ask about your meetings and the answers returned, so you can revisit them later.
3. Why we process it, and our legal basis
- To provide the Service you asked for — summaries, to-dos, search, Ask AI (performance of a contract).
- To keep your account secure and send you account-related emails, like sign-in confirmations and password resets (legitimate interest / contract).
We don't use your meeting content for advertising, and we don't sell your data.
4. Who processes it on our behalf
Your data passes through a small number of providers, each only for the purpose below:
- Supabase (EU region) — database, authentication, and file storage.
- Anthropic — generates AI summaries, to-dos, and Ask AI answers from your transcript.
- Voyage AI — generates the embeddings that power cross-meeting search.
- Resend — delivers account emails (sign-in confirmation, password reset).
- Vercel — hosts the web dashboard and API.
Anthropic and Voyage AI are US-based; where your data is transferred outside the EU, we rely on their standard contractual clauses or equivalent safeguards recognized under GDPR.
5. How long we keep it
We keep your account and meeting data for as long as your account exists. Delete a single meeting, or your entire account and all associated data, at any time from account settings — deletion is immediate and permanent.
6. Your rights
Under GDPR, you can:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data (also available directly in account settings)
- Export your data in a portable format
- Object to or restrict certain processing
To exercise any of these, email hello@meetsy.ai. You can also lodge a complaint with Poland's data protection authority (UODO).
7. Cookies
We currently use only one cookie category: strictly necessary — the session cookie that keeps you signed in. It isn't used for tracking or advertising, and doesn't require your consent to operate, only disclosure. If we add analytics cookies in the future, you'll be asked to opt in before they're set. Manage your preference anytime via "Cookie preferences" in the footer.
8. Children
The Service isn't directed at anyone under 16, and we don't knowingly collect their data.
9. Changes to this policy
We'll update the date at the top of this page whenever this policy changes, and post material changes here before they take effect.
